Privacy policy
Effective date: May 9, 2026. This policy explains what information KindCaddy collects when you use our website and services, how we use it, who we share it with, how long we keep it, and the privacy choices available to you.
1. Who we are
KindCaddy ("KindCaddy," "we," "us," or "our") provides applied AI workflow consulting and software products. This policy applies to kindcaddy.com and any related KindCaddy services that link to it. If you have questions about this policy, contact us at customersupport@kindcaddy.com.
2. Information we collect
We collect only what we need to operate the site and respond to you.
- Information you give us. When you submit the contact form or email us, we collect your name, email address, and the contents of your message.
- Technical information. When you visit the site, our hosting and security providers automatically receive standard request data such as IP address, browser type, device type, referring page, pages viewed, and timestamps. This is used to operate, secure, and debug the site.
- Cookies and similar technologies. We use a small number of cookies and local storage entries. Necessary cookies keep the site secure and remember your privacy choices. Optional analytics or marketing cookies are only set if you opt in through the privacy choices control.
- Service data. If you use a KindCaddy product or paid service, we process the content and account data you provide as needed to deliver the service. That use is governed by the applicable service agreement in addition to this policy.
We do not knowingly collect information from children under 13 (or the equivalent minimum age in your jurisdiction). If you believe a child has provided us information, please contact us so we can delete it.
3. How we use information
- To respond to inquiries and provide requested services.
- To operate, secure, maintain, and improve the site and our products.
- To detect, investigate, and prevent fraud, abuse, or security incidents.
- To comply with legal obligations and enforce our terms.
- With your consent, to measure site usage and the effectiveness of our content.
We do not sell your personal information, and we do not use it for targeted advertising or to train third-party AI models.
4. Legal bases for processing
Where laws such as the EU/UK GDPR apply, we rely on the following legal bases:
- Performance of a contract — to respond to your inquiry or provide a service you requested.
- Legitimate interests — to operate, secure, and improve the site, in a way that does not override your rights.
- Consent — for optional analytics or marketing cookies. You can withdraw consent at any time through the privacy choices control in the footer.
- Legal obligation — when we must retain or disclose information to comply with applicable law.
5. How we share information
We share information only in the following limited cases:
- Service providers. Vendors that help us run the business (hosting, email delivery, security tooling, analytics if enabled) under contracts that limit how they use the data.
- Legal and safety. When required by law, valid legal process, or to protect the rights, property, or safety of KindCaddy, our customers, or others.
- Business transfers. If KindCaddy is involved in a merger, acquisition, financing, or sale of assets, your information may transfer as part of that transaction; we will notify you of any change in ownership or use.
We do not sell or rent your personal information, and we do not share it with advertising networks.
6. International transfers
KindCaddy operates from the United States, and our service providers may process information in the United States or other countries. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers of personal information.
7. How long we keep information
- Contact form submissions are retained as long as needed to respond and to keep a reasonable record of the conversation, then deleted or anonymized.
- Cookie preferences are stored in your browser for up to 180 days, or until you change or clear them.
- Server logs and security data are retained for a limited period consistent with operational and legal requirements.
- Service and account data is retained according to the applicable service agreement; you can request deletion at any time.
8. How we protect information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, restricted access on a need-to-know basis, and ongoing review of our security practices. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
9. Your privacy choices and rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal information, and to object to certain uses. You may also have the right to opt out of "sale" or "sharing" of personal information and certain types of profiling. KindCaddy does not sell or share personal information for cross-context behavioral advertising.
- Privacy choices. Use the Privacy choices link in the site footer to manage optional cookies at any time.
- Access, correction, or deletion. Email customersupport@kindcaddy.com with your request and the email address you used. We will respond within the time required by applicable law.
- Authorized agents. Where allowed by law, you may use an authorized agent to submit a request. We may need to verify the agent's authority and your identity.
- Appeals. If we deny your request, you may appeal by replying to our response. Where applicable, you may also lodge a complaint with your local data protection authority.
We will not discriminate against you for exercising your privacy rights.
10. Cookies and tracking technologies
We use a minimal set of cookies and similar technologies. You can manage optional categories at any time through the Privacy choices link in the site footer.
- Necessary. Required for core functions like security, load balancing, and remembering your privacy preferences. Always on.
- Analytics (optional). Helps us understand aggregated site usage so we can improve the site. Off unless you opt in.
- Marketing (optional). Helps measure the effectiveness of our outreach. Off unless you opt in.
Most browsers also let you block or delete cookies through their settings. We honor Global Privacy Control (GPC) signals as an opt-out of optional analytics and marketing cookies where applicable.
11. Third-party links
The site may link to third-party websites or services. Their privacy practices are governed by their own policies; we are not responsible for content or practices on sites we do not control.
12. Changes to this policy
We may update this policy from time to time. When we do, we will update the effective date above. If changes are material, we will provide a more prominent notice (such as a banner on the site or an email where appropriate).
